eGarage ("we," "our," or "us") is committed to protecting the privacy of our users. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our platform, website, and related services (collectively, the "Service").

1. Important GDPR Role Distinction (Who is Who)

Under the UK General Data Protection Regulation (UK GDPR), the UK Data Protection Act 2018, and similar data protection laws:

  • Data Controller (The Garage/Workshop): The garage or automotive workshop that subscribes to eGarage is the Data Controller for all customer, vehicle, and checklist data uploaded to the platform. The garage determines the purpose and means of collecting and processing their customers' personal data (such as names, emails, phone numbers, and license plates).
  • Data Processor (eGarage): eGarage acts strictly as the Data Processor (or Data Handler) hosting and processing this data on behalf of, and in accordance with the instructions of, the Data Controller (the Garage).
  • Data Subject (The Garage's Customers): The vehicle owners and customers whose details are registered by the garage are the Data Subjects.

If you are a customer of a garage using our Service, your data is governed by that garage's privacy policy. You should direct any queries regarding access, rectification, or deletion of your personal data to the respective garage.

2. Information We Collect

We collect information to provide, maintain, and optimize the Service. This includes:

Account Credentials & Workshop Metadata

Personally identifiable information, such as your name, email address, phone number, and password, as well as business-related details (garage name, address, contact details, VAT registration details, and company logos) entered during registration or settings configuration.

Operational Data (Processed on Behalf of Garages)

Information regarding vehicles (license plates, VIN/chassis numbers, make, model, year, color, odometer readings), customers (full names, emails, phone numbers), and filled checklists (checks, status values, comments, and uploaded photos) stored within your workspace.

Usage & Technical Data

Information our servers automatically collect when you access the platform, such as your IP address, browser type, device information, operating system, and telemetry related to your use of the application features.

3. How We Use Information

We process your information for the following purposes:

  • Providing, maintaining, and improving the eGarage platform
  • Generating and rendering checklist reports (HTML and PDF summaries) for your customers
  • Hosting workshop operational data in a secure, unified workspace database
  • Sending technical notices, updates, security alerts, and support responses
  • Detecting, preventing, and addressing technical bugs, security incidents, or abuse

4. Stripe Payment Processing & Security

All subscription payments, invoicing, and card transactions on eGarage are processed securely by our third-party payment gateway, Stripe. eGarage never stores, processes, or sees your full credit card number, CVV, or expiration date. Your payment information is collected and processed directly by Stripe subject to Stripe's Privacy Policy.

5. Staff Access for Support (Impersonation Clause)

Authorized eGarage support and development staff may securely access your workspace, database logs, and configuration settings strictly for the purposes of troubleshooting bugs, providing requested customer support, or resolving system errors. This support access is strictly restricted, monitored, and performed only upon your direct request or authorization.

6. Sharing of Information & Sub-processors

We do not sell, rent, or trade personal data. We share information only with trusted third-party sub-processors who assist us in providing the service under strict confidentiality agreements:

  • Hosting & Databases: Secure cloud infrastructure and operational databases are hosted via Hetzner within the UK/EU region.
  • Email Services: System transactional emails, checklist notifications, and billing notifications are routed through Brevo.
  • Payments: Financial and payment gateway operations are processed by Stripe.
  • Legal Compliance: If required by law, court order, or governmental authority to investigate or prevent illegal actions.

7. Data Security & Storage

We implement robust administrative, technical, and physical security measures to protect the confidentiality and integrity of your data. All data is encrypted in transit and at rest. While we take every precaution to secure our systems, no internet transmission or database storage method can be guaranteed 100% secure.

8. Your Privacy Rights

Garages (Data Controllers) have rights under the UK GDPR regarding their account information. If you are an end-customer (Data Subject) of one of our subscribing garages, please contact the garage directly to exercise your rights to access, correct, delete, or limit the use of your personal details.
